Teams: Calling with Microsoft Teams

NOTE: In order to make Teams calls outside of your organization, an Operator Connect or a Direct Routing license is needed.


DESKTOP: HOW TO MAKE CALLS

Make both audio and video calls to other people in and outside your organization through Teams’ Calls view.


Implementation

1. Click the Calls button on the Teams sidebar.
2. Click Contacts.

3. Click a contact’s Call button.

4. Click Hang Up when you’re finished with the call.

The call ends, and you return to the Teams Calls view.

 

Call an Outside Number

1. Click the Calls button on the Teams sidebar.
2. Locate the Dial Pad.

Note: If the Dial Pad isn’t visible, look for the Dial a Number button. Once located, click it.

3. Dial the number.

Note: When dialing an outside number, you must dial the 10-digit phone number including area code.

4. Click ‘Call’ to call the number as dialed.

Note: If you have a desktop phone, you may use it to make a classic phone call.

 

DESKTOP: HOW TO RECEIVE AND MANAGE CALLS

When another person in your organization uses Teams to call you, a notification will appear on your
screen. You can use the buttons that appear on the notification pop-up to answer it or decline it.
You can choose to answer an incoming call as either an audio-only call or a video call.


Answer a Call

You can choose to answer an incoming call as either an audio-only call or a video call.

1. Click the Accept with Video or Accept with Audio button.

The call starts, and the call screen takes over the Teams window.

 

Place a Call on Hold

While you’re on a call, you can place it on hold to step away from it without ending the call entirely.

1. While on a call, click the More Actions button on the call controls bar.
2. Select Hold.

The call is placed on hold, and all audio, video, and screen sharing is stopped for everyone on the call. 

A Resume button will appear on the call screen during a hold.

3. Click Resume.

The call resumes, and any video or screen sharing that was active before will be resumed as well.

 

Transfer a Call

If you’re on a one-on-one call, you can transfer your end of the call to someone else in your organization.

1. While on a one-on-one call, click the More Actions button on the call controls bar.

Here, you have two ways you can transfer a call:

• Consult then transfer lets you check in with someone via chat before transferring a call to them.
• Transfer will transfer the call immediately to another person.

2. Select Transfer

3. Start typing the name of the person you want to transfer the call to.

4. Select a person from the search results.

5. Click Transfer.

The call is transferred, and you’re disconnected from the original call.

 

Add a New Contact

1. Click the Calls button on the Teams sidebar.

2. Under Calls, select Contacts.

3. Then click the Add Contact button.

4. Once the Add to Contacts dialog box appears, enter a name or phone number in the text field and click Add. If you get a message stating that no matches were found, click the Add button to continue adding a contact manually.

5. Enter the new contact information and click the Add button to finish adding.

The new contact has been added and you can locate them in your Contacts list.

 

USING YOUR VOICEMAIL

View your voicemail

If someone calls you in Teams when you’re unable to answer, they can leave you a voicemail that you can check later.

1. Click the Calls button on the Teams sidebar.
2 Click Voicemail.

In this section you can play back voicemails or read its transcription.

 

Edit Your Voicemail Greeting

1. Click on the three-dot menu next to your avatar image in the upper right corner of the screen.

2. Next, choose Settings, then Calls.

3. Under the Voicemail section, click Configure Voicemail.

4. From the new voicemail screen that appears, click Record a Greeting. The application will place a call to your voicemail settings and walk you through recording a new voicemail greeting.

MOBILE: HOW TO PLACE, ANSWER, AND MANAGE CALLS

Call by Phone Number

1. Tap Calls.

2. Tap the Dial Pad icon in the upper right corner of the screen.

3. Use the Dial Pad on your mobile device to dial numbers from your personal phone number and to
make emergency calls to your country-specific emergency number.

4. Tap the Call button when you are ready to place your call.

Your call will be placed and the screen will switch to show the contact’s information and length of the call.

 

Start a Call from a Chat

1. You can launch calls from one-on-one or group chats. From your chat list, tap New Chat, in the header enter a name or names.

2. From a chat, tap Video Call or Audio Call. The person you’re calling can answer from their desktop or mobile app.

3. You can also start a call from someone’s profile card. Open it by tapping their profile picture in a
channel or from a search.

Answer a Call

When a call comes into Teams, a notification pops up, letting you know. Tap Answer to start talking.


Add Someone to a Call

To add someone new to a group call, select Show Participants in your call controls, then type their
name or phone number in the search box.

Make Multiple Calls at the Same Time

If you’re already on a call, you can answer or start a new call anytime. We’ll place your original call on hold and take you straight to your new call.

Put a Call on Hold

To place a call or meeting on hold, tap More Options in your call window and select the hold option.
To continue the call, tap Resume.
